This policy explains what CanLink Consulting Inc. collects, why it is needed, who may process it, how long it is kept, and how you can exercise your privacy rights.

1. Who is accountable
CanLink Consulting Inc. is a Canadian immigration consulting firm based in Richmond, British Columbia. Allan Tsz Lun Chan, RCIC R408711, is the President, responsible licensee, and designated Privacy Officer for this website and CanLink’s personal-information practices.

CanLink follows applicable Canadian privacy law, including British Columbia’s Personal Information Protection Act and, where applicable, the federal Personal Information Protection and Electronic Documents Act.
2. Scope of this policy
This policy applies to personal information collected through this website, email, telephone, consultation requests, and CanLink’s related business activities. A separate written service or consultation agreement may provide additional terms for clients and prospective clients.
This policy does not govern external government, provincial, professional-regulator, or other third-party websites linked from CanLink pages.
3. What we collect
Information you provide
- Your name, email address, and optional telephone or messaging number.
- Your preferred language, current country or region, service of interest, contact preference, and a short description of your immigration objective.
- Information you later choose to provide during a scheduled consultation or professional engagement.
Technical and website information
Our hosting, WordPress, security, and Jetpack services may process technical information such as an IP address, browser and device information, referring page, pages visited, date and time, and security or delivery logs. Essential cookies or similar technologies may be used to operate and protect the website.
Do not enter passport numbers, UCI or application numbers, banking records, medical information, government account credentials, or upload immigration documents. If documents are required, CanLink will provide separate instructions.
4. Why we use information
CanLink collects and uses only information reasonably needed to:
- respond to an inquiry and understand the broad nature of the requested service;
- arrange a consultation and communicate in the preferred language or channel;
- perform preliminary conflict, suitability, deadline, and service-routing checks;
- provide agreed professional services under a written agreement;
- operate, secure, troubleshoot, and improve the website;
- maintain records and meet professional, legal, regulatory, insurance, accounting, or dispute-resolution obligations; and
- prevent fraud, spam, misuse, or security incidents.
CanLink does not sell personal information and does not use consultation-form information for unrelated marketing without separate consent.
5. Consent and the inquiry stage
The consultation form asks for express consent before submission. You may withdraw consent to optional uses at any time, subject to legal, regulatory, contractual, and reasonable notice requirements.
Submitting a form is not a retainer
CanLink treats inquiry information responsibly and confidentially. However, sending a form or email does not create a consultant-client relationship, require CanLink to accept a matter, or make CanLink responsible for an immigration deadline. Formal representation begins only after required checks are completed and a written service agreement is signed. A paid or formal initial consultation may also be governed by a separate written consultation agreement.
7. Retention and disposal
General inquiry records are normally retained for 12 months after the last contact and then securely deleted or anonymized when no longer needed. If information is used to make a decision that directly affects an individual, it will be retained for at least one year after that use where B.C. law requires it.
Some information may be retained longer for conflict checks, a professional engagement, legal or regulatory obligations, accounting, insurance, security, or a dispute. Client-file retention is governed by the written service agreement and applicable professional and legal requirements.
Form submissions are delivered to CanLink by email. WordPress, Jetpack, and hosting systems may also process or retain a response or technical log for delivery, security, spam prevention, or response management. CanLink restricts access and periodically removes records that are no longer required.
8. Safeguards
CanLink uses administrative, technical, and physical safeguards appropriate to the sensitivity of the information. These include access controls, password-protected systems, service-provider controls, security updates, limited collection, and secure disposal practices.
No website or email system can be guaranteed completely secure. The public consultation form is therefore intentionally limited and does not accept document uploads. If a privacy or security incident creates a real risk of significant harm, CanLink will assess notification and reporting obligations under applicable law.
9. Your privacy rights
Subject to legal exceptions, you may ask CanLink to:
- explain how your personal information has been used and disclosed;
- provide access to personal information held about you;
- correct inaccurate or incomplete information;
- withdraw consent to optional uses; or
- review a privacy concern or complaint.
CanLink may need to verify identity before responding. Requests will be handled within the period required by applicable law; B.C. PIPA generally provides 30 days, subject to permitted extensions. If a concern is not resolved directly, you may contact the Office of the Information and Privacy Commissioner for British Columbia.
10. Contact and policy updates
Questions, access or correction requests, and complaints should be directed to the Privacy Officer. This policy may be updated when CanLink changes its services, technology, or legal obligations. The current effective date will always appear at the top of this page.
